Privacy notice

This notice explains how Systems One handles personal data when you use SheriaERP or this website. It is written for the Data Protection Act, 2019. It is not the Judiciary’s privacy notice, and it does not cover Kenya Law or e-filing.

1. Who we are

Systems One operates SheriaERP. Contact: hello@sheriaerp.com +254 700 000 000.

2. What we collect

On this website: name, email, phone, firm name, and the message you send when you request a demo or contact us. In a firm workspace: staff accounts, clients, files, time recordings, invoices, research copies the firm adds, and technical logs needed to keep the service up. We do not collect court filings from e-filing on your behalf.

3. Why we use it

To answer enquiries, provision and host a workspace, authenticate users (including OTP), bill the firm, support the product, and meet legal duties. A firm uses its workspace to keep its own practice records. Research copies are stored as at a date; they are not a live feed of Kenya Law.

4. Lawful basis

Contract (to provide the product the firm asked for), consent (demo and contact forms), legitimate interests (security and product improvement that do not override your rights), and legal obligation (tax, accounting, and data-protection duties).

5. Who else sees it

Hosting, email, and SMS providers we use to run the product; payment processors where the firm pays us; and authorities when the law requires it. We do not sell personal data. Official court and Kenya Law systems are separate — we do not lodge your file there.

6. How long we keep it

Website enquiries are kept while we handle them and for a short follow-up period. Workspace records stay for the life of the subscription and any retention the firm or the law requires after that. You can ask for export or deletion as set out in the terms.

7. Your rights

Under the Data Protection Act, 2019 you may request access, correction, deletion, or restriction, and you may object to certain processing or lodge a complaint with the Office of the Data Protection Commissioner. Staff and clients of a firm should usually start with that firm, because the firm controls most file data.

8. Security

We use access controls, tenant separation, and encryption in transit. No system is risk-free. Keep passwords and OTP codes private. Report suspected misuse to hello@sheriaerp.com.

9. Changes

We may update this notice on this page. The date of the current text is the page’s last publication on SheriaERP.
